Epic Home Healthcare

Epic Home Healthcare places caregivers, aides and nurses with families across Dallas–Fort Worth. Its old WordPress site still had a shop cart in the header. We rebuilt it as a site that answers the three things families ask first, what care, who pays and how fast, and that gives every enquiry and every applicant a place to land.

Epic Home Healthcare is an in-home care agency in Plano, Texas, serving families across Dallas–Fort Worth with caregivers, home health aides, CNAs, LVNs, LPNs and RNs. It cares for seniors, children, veterans, people recovering from surgery and workers' compensation patients, and is paid through Medicaid, commercial insurance, private pay, workers' comp and VA benefits.

Before

Through 2025 the site was a WordPress theme on GoDaddy with WPBakery, a slider plugin and WooCommerce. The shop cart still showed "$0.00" in the header of a home care agency. The logo was a JPG, the meta description was the tagline and nothing else, and there was no way to chat, apply or start an intake online.

What we did

A brand refresh. The plus mark in a blue gradient with an amber square, the "Your care, our passion" line, a sky-blue page ground and amber pill buttons, set in Inter Tight. Calm, clinical enough to trust and warm enough to call.

A new site on Webflow, so the team can edit it themselves: Home, About, Services, Our Team, FAQ, Paying for Care, Blog, Careers and Contact, with CMS collections for the twelve services, five job posts, thirteen team bios and the blog.

Every way in, wired to one CRM. The care intake, the job applications and a chat assistant on every page all feed the Pinn.Media CRM, with consent captured on each form and analytics on every page.

Outcome

The site went live in autumn 2025, between the last WordPress snapshot in October and the first Webflow one in November. Families can now see what care exists, check how they would pay for it and start an intake or a chat at any hour; nurses and aides can apply for a named role online. Before, every one of those started with a phone call during office hours.

Pinn.Media also runs Epic's marketing, and our founder sits on its team as Marketing Director, so the site, the CRM and the campaigns are one team's work rather than three vendors'.

A Webflow site built around the questions families actually ask: what care do you give, who pays for it, who are the people, how do I start.

Home opens on a family, not a building: a full-bleed photograph with frosted service cards sitting over it, so the first screen already names the care on offer. Below, a tabbed values section (Compassion, Excellence, Integrity, Independence, Collaboration) does the trust work a care agency needs without a wall of text.

Services is a CMS collection, twelve pages from one template: Skilled Nursing, Live-In, Dementia, Respite, Veterans, Pediatric, Workers' Comp, Companionship and the rest. Adding a service is a CMS entry, not a design job.

Paying for Care exists because cost is the question families are most anxious to ask and least likely to ring about. It walks through Medicaid, commercial insurance (with the insurers named), private pay, workers' compensation, VA benefits and life insurance, one card each.

Our Team puts thirteen named people with photographs on the page. In a business where a stranger comes into your home, faces are the proof.

Growth

Epic Home Healthcare, intake, recruiting and the CRM

Three ways in, families through a structured intake, families who would rather talk through chat, and caregivers through online applications, all landing in one CRM.

The care intake on Contact asks for what a coordinator needs to call back usefully: patient name and age, address, the type of care and the current challenges. Consent for service messages and marketing messages is captured separately, as the rules require.

Careers lists five roles (CNA, RN, LVN, HHA and caregiver, LPN), each with its own page, shifts and location, and an application form. Recruiting is half the business for an agency, so it gets a front door of its own.

The chat assistant sits on every page in the brand colours, greeting visitors with "How can we care for you today?". It runs inside the Pinn.Media CRM, so a chat, an intake and an application all become records in the same place, with Google Tag Manager, GA4 and the Meta pixel measuring where they came from.
